Voting, Officers, Etc
- Selection of judges
- Any IAM member in good standing who contributes a minimum of $50 becomes eligible as a judge, or to designate another IAM member in good standing as a judge.
- IAM members who are themselves applying for the scholarship are not eligible to be judges, due to conflict of interest, but are eligible to designate another qualified IAM member. The designated IAM member may not vote on that donor's application, but may vote on all others where no conflict of interest exists.
- If there are more than 20 IAM members who have qualified as judges based on contributions or appointment by a contributor, those members will elect to either have all members vote, or select a group of 10 members to act as judges.
- If there are less than 5 IAM members who have accepted the responsibilities as judges, the scholarship administrator may, in consultation with contributors, recruit additional judges, either from other contributors, or other members of IAM in good standing.
- Duties and responsibilities of judges
- Identify any potential conflicts of interest and not vote on those items.
- Read and fairly judge all essays and other materials in a timely manner.
- Maintain confidentiality of all materials.
- Duties and responsibilities of fund administrator
- Maintain the Scholarship forum, qualifications, and applications.
- Establish consensus for development and modification to qualifications and applications.
- Receive, acknoledge, and account for all donations.
- Receive all application materials.
- Score all objective measures on applications.
- Distribute essays and other subjectively scored materials to judges for scoring.
- Collect scores from judges.
- Compute total scores.
- Announce, or arrange for announcement, of winner.
- Arrange with winner for payment of scholarship to student or school. The method is at the discretion of the fund administrator, but must ensure that the scholarship is used for legitimate college costs.
- After award of scholarship, within 30 days, ensure destruction of confidential materials from all applicants.
- Any of these duties may be designated to another IAM member in good standing, but it remains the responsibility of the fund adminstrator to ensure all tasks are complete.
- Conflict of interest
- Conflicts which preclude being a judge or fund administrator.
- Applying for scholarship.
- Residing with a scholarship applicant.
- Conflicts which preclude voting on a specific applicant's materials
- Having past or present significant contact with an applicant.
- Any other issue which the judge feels may impact, positively or negatively, his/her ability to fairly judge an applicant.
